Project and Job Management This page provides a listing of all jobs and projects. New jobs can be added via the Add a new job link at the top of the page, along with new projects Add a new Project. Job details can be modified, by clicking on the job description. For a totally new entry, first add a new client, then a new project then a new job. First – Add a new Project Creating new projects in the timesheeting system. There are 6 fields where data can be entered: 1 – Project Name Your name for the new project. There is a limit of 15 characters per name. The database will accept non-unique Project names, because each project has its own ID number. However, we strongly recommend the use of unique project names. 2 – Client A dropdown list of current clients, that are registered on the timesheeting system. Adding a new client will take you out of this section and you will have to begin it again. 3 – Quotes Put in reference numbers and URLs to any quotes and other documents you may have done for this project. 6 – Notes Free text field. 7 – Add The Add button will submit the project and a new entry will be created in the database. Note - the [Entered by] field is already filled in with the name of the person who is creating the project. On completing adding a new project you will move to he "add new jobs" page. Second - Add a new job If you've come here by adding a project you will get three job forms. If you come directly from the jobs index there is one form to use. The Add New Jobs screen provides 3 separate job entry sections, which means that 1-3 jobs can be entered at a time. Each section is made up of the same data entry fields, with 3 pre-selected fields. If only one job is to be entered it is not necessary to fill in any of the other sections. 1 – Job # The [Job #] is a field that is automatically filled in by the database for use as an identifier. This field cannot be changed manually. 2 – Entered by The [Entered by] field the staff member (i.e. you) that is adding the job and is filled in automatically with the name of the person logged in. This field cannot be changed. 3 – Project The Projects field is a drop-down list of Projects that have been entered into the timesheeting system. If the project you need does not appear on the list, you can add it using the "or add new" link 4 – or add new If you are about to enter a new job, but have not yet added a project, this link has been provided to assist you in the steps needed to create a new job. You need to first enter the details of the project before you can add a project. 5 – Job Name or Job description 6 – Estimate Enter time in hours, e.g. 10.75, not hours and minutes. 7 – add to timesheet The add to timesheet section allows you to add this particular job to the timesheet of any other staff person. Note – Jobs can also be added later from individuals' timesheets in the Reports/Customise section. 8 – Notes A free text field. If there is any other information that is related to this job, it may be entered into the Notes field. |
