Overview
The Katipo timesheeting system is a series of webpages interacting with a database. The main aims of the system are:
- To facilitate the accurate recording of time by staff on a daily basis, so that they are paid correctly and promptly.
- To facilitate the accurate apportioning of time to jobs, to enable more accurate estimating and invoicing
- To function as a repository of information so that the twin aims of paying people and charging people proceeds as smoothly, accurately and transparently as possible.
There are 8 standard sections in the Katipo Timesheeting System.
- Timesheet /homepage
: The main page that everyone uses. Each member of the staff has their own timesheet homepage, which comes up when they log in. The page is customisable, and from it you can check the current pay period and other simple reports. Daily and weekly totals are shown, and a simple "To Do" list is available.
- Pay:
The pay summary for employees. This section is used by the accounts administrator to work out, record and notify staff about pay.
- Jobs
: The list of all projects and jobs. This is where you add, change and remove projects and jobs. When a job is added you can assign it to any staff member's timesheet.
- Invoicing:
Time and jobs are collated into projects, and reports are produced so those invoices can be written. Invoices are not actually generated, but you can mark time as having been invoiced, not invoicable or waiting to be invoiced.
- Reports:
All variables can be reported on – so you can see how much annual leave you've used this quarter and so on. The reports are still under development at the moment.
- Clients:
Client and contact details where everyone can get at them. Clients can be added, modified and deleted here.
- Staff:
Staff information – phone numbers etc, good for keeping track of contractors. Adding staff means that you can assign tasks to their timesheets.

How the sections "relate"
- Each client can have many projects
- Each project can have many jobs
- Each job can have many instances of time recorded against it
- Each staff person can fill in time on many jobs
- Each instance of time can only be invoiced once
- Each project can only have one client
- Each job can only have one project
Logging In
Logon to your timesheeting system

You will be prompted for a login name and password.
These are set by your system administrator, if you loose or forget your password ask them for help. If you are on the Katipo server contact chris@katipo.co.nz
If you have entered a valid login name and password, a customised timesheet will be displayed.
Note if you are given the option to "Save this Password in your Password List" by Internet Explorer, you should leave the check box unmarked for security reasons.
